The Fine Art Cataloger reports to the Curator for the Collection and is a key member of a cross-departmental Collections team. Responsible for cataloguing works in the Fine Art Collection in the museum’s Collection Management Database (MIMSY XG), and performing basic database management duties

Duties and Responsibilities

  • Using best industry practices, catalog the Fine Art Collection
  • Create and enhance related or existing collections management software (CMS) records
  • Maintain internal standards, style, and vocabulary for all records
  • Identify and either personally execute or oversee data entry projects for objects, artists, exhibitions, condition/conservation, publications, keywords, etc. geared towards the digitization of Collection-related documentation
  • Work with the Publications and Digital Assets Departments to identify issues, improve, and enhance the “Search the Collection” section of the museum’s website
  • Perform basic database administration, such as training new users, creating and maintaining user accounts, field settings, functionality, controlled vocabulary lists, hierarchies, and saved searches.
  • As necessary, perform database clean up
  • Monitor new data entry created by collections staff for accuracy and compliance with existing style and standards
  • As needed, perform collection database queries and advance searches for staff
  • Assist Senior Registrar for the Collection in management of the physical artwork files
  • As needed, respond to external research queries and host on-site researchers who need access to the physical artwork files onsite

Qualifications

  • Minimum two years fine art cataloging experience
  • Strong understanding of relational databases and demonstrated proficiency with Collection Managment Systems, preferably MIMSY XG
  • BA in Art History, Museum Studies, Information Sciences, or equivalent combination of education and experience
  • Demonstrated proficiency in Microsoft Office Software (calendar, task module, email organization)
  • Basic understanding of intellectual property laws
